Privacy Policy

This page explains what personal information we hold when you ask us about a rooflight or skylight, why we hold it, and what you can ask us to do with it.

Who we are

Avon Skylights Bristol installs and replaces rooflights, skylights and roof windows for homeowners in and around Bristol. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the controller of the personal data described here. That means we decide how it is used and we are responsible for looking after it.

We work from customers' homes and have no office open to the public. You can reach us about anything on this page by emailing info@avonskylightsbristol.co.uk, or by ringing the number shown on our contact page.

What we collect and where it comes from

We only collect what you choose to give us, plus what we note down while surveying and fitting your rooflight.

  • The quote form. The enquiry form on our pages asks for details such as your name, phone number, email address, postcode and a description of the job. It is run for us by our customer management provider and sent straight to our enquiry system.
  • WhatsApp. The WhatsApp button builds a message from the details you type in (name, phone, email, what you need and a preferred visit time). Nothing is sent to us until you press send inside WhatsApp itself. From then on, we receive your message and your WhatsApp number.
  • Email and phone. If you email or call, we keep your contact details and what you tell us about the work.
  • Survey and job records. When we visit, we record measurements, notes and photographs of the roof and the room, your address, the quote we send and, if you go ahead, the job details, invoices and payments.

We do not ask for sensitive information (such as health details). If you mention something like a mobility need so we can plan a visit, we use it only for that purpose.

Why we use it and our lawful bases

UK GDPR requires a lawful basis for each use of personal data. Ours are set out below.

Where we rely on legitimate interests, we have weighed our need against your rights, and you can object at any time. We send no marketing newsletters. If we ever wanted to, we would ask for your consent first.

Who we share it with

We never sell your details. We share them only where it is needed to run the business or the law requires it:

  • the provider of our enquiry form and customer records system
  • our email, website hosting and IT providers
  • WhatsApp (part of Meta), for any conversation you start with us there; WhatsApp handles that data under its own privacy policy
  • the local authority's Building Control service, or a registered building control approver, for notifiable work
  • our accountant, bank and payment providers
  • professional advisers and insurers, if a claim or dispute arises
  • the police, courts or regulators, where we are legally required to

Our providers act on our instructions and must keep your data secure. Some of them may store data outside the UK. Where they do, we rely on safeguards recognised by UK law, such as UK adequacy regulations or the International Data Transfer Agreement.

How long we keep it

  • Enquiries that do not lead to work: up to 12 months after our last contact, so we can answer follow-up questions about the quote.
  • Customer and job records: for as long as your workmanship guarantee runs, and in any case six years after the job ends, the period HMRC asks businesses to keep financial records.
  • WhatsApp chats and emails: on the same timescale as the enquiry or job they relate to.

After that, we delete the information or make sure it can no longer identify you.

Your rights

You have the right to:

  • ask for a copy of the personal data we hold about you
  • have anything inaccurate corrected
  • ask us to delete your data, where we have no lawful reason to keep it
  • ask us to limit how we use it
  • object to our use of it on the basis of legitimate interests
  • receive data you gave us in a portable format, where the law allows
  • withdraw consent, where consent was our basis

To use any of these rights, email info@avonskylightsbristol.co.uk. There is normally no charge. We will reply within one month, and may ask you to confirm who you are first.

We make no decisions about you by purely automated means.

Keeping it safe

Access to customer records is limited to the people who need it to quote and fit your rooflight. Our systems are password protected, and our providers are chosen for their security. If a breach ever put your rights at risk, we would tell you and the regulator as the law requires.

Our website is aimed at adults arranging work on their own homes, and we do not knowingly collect information from children.

Complaints to the regulator

If you are unhappy with how we have handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection. Its website is ico.org.uk and its helpline is 0303 123 1113.

We review this policy from time to time. The date at the top shows when it last changed.
